The full agenda is generated by the Agenda Wizard © by using the one-click outline you create within the wizard and then merging with a template. It is important to note that each heading within the document was generated from a folder in the outline of the Agenda Wizard ©. The body of the Agenda can include a vote record after each agenda item that requires a vote... this way you can record the votes right on the agenda.

Full Agenda (PDF Packet)
The full agenda generated by the Agenda Wizard © can automatically build formal printouts of your documents with cover memos, attachments and more. In the appendix part of the packet where attachments and other printouts and documents can go, the Agenda Wizard © can automatically overlay on the documents with the title of the document, parent document # and title, page # and agenda item #... this makes it easier to know what you are looking at. Please note that the bookmark area of the PDF is automatically generated by our Agenda Wizard © after you simply determine the order and headings you want.

This public agenda generated by the Agenda Wizard © is typically used to generate a summarized version of the agenda that contains less information than the full agenda packet. While both the full and public agenda can be published on the web, many of our customers use the summarized agenda for handouts at the meetings and for a quick overview. This public agenda requires no extra work and is automatically generated using Word templates.

Sample Merge Fields
This document is a sample page that contains just a few merge fields that can be included within any of our generated documents. Meeting History, Review History, Attachment Lists, Fiscal Impact, Comments, Vote Records and Task List are just a few to mention. There are also a ton of simple merge fields that let you take virtually any field entered in our system and add it to a template for generating. Both simple and complex merge fields can have their formatting and styles modified simply by formatting in Word or changing the style definitions.

The minutes document is generated by the Minutes Maker © and looks similar to the full agenda with a few exceptions: the vote records are checked with the recorded votes, the roll-call table is filled in and any comments or discussions recorded now appear after each item. Minutes (PDF Packet)
The Minutes can easily be generated by our Minutes Maker ©. This version of the Minutes acts like a Marked Agenda as it can contain all the information in the Agenda Packet except now discussion notes and Vote Records have been added. Post-Meeting Letter
The Letter Factory generates custom post-meeting follow up letters to every listed recipient. Notice the first page includes a summary of all the resolutions they are receiving with the title, vote result and a list of all other recipients being CC'd on each resolution. After the summary the letter includes the full body of the resolutions along with the detailed vote record. These letters are easily generated by linking recipients and distribution lists to categories or individual agenda items.

Legal Notice Letter
The Letter Factory also generates Legal Notice letters which are typically sent to newspapers and other publications. Notice that the legal notice letter has a similar format to the resolution letters except the detailed Legal Notices include the publish date and type of legal notice.
